As of 13 August 2026, AI can categorise your expenses for a business budget.
This still needs a person who signs their name to it.

If this goes wrong: incorrect categories distort your budget and may be carried into bookkeeping, VAT or tax records until someone finds and corrects them.

How to actually do it
- Open your business bank or card account and export the period as CSV or XLSX, including dates, descriptions, amounts, supplier details and transaction references.
- Open your budget or bookkeeping category list and write down the categories and any rules, such as separating software, travel, stock, wages, owner drawings and personal spending.
- Remove passwords, full account numbers and unrelated private information, then check that the export still contains every transaction and its original amount.
- Paste the prompt into an AI chat and upload the cleaned export and your category rules when asked, requesting a table and totals rather than a free-form summary.
- Compare the returned transaction count and total against the bank or card export before accepting any categories.
- Open receipts, invoices and supplier records for every row marked low confidence, mixed, personal or unclear, then correct those rows yourself.
- Compare the final category totals with your budget and send transactions with possible VAT, tax or accounting consequences to your accountant before using them in records or filings.
Prompt
I am preparing a UK business budget. Categorise the transactions in the data I will paste or upload using only these categories: [PASTE CATEGORY LIST]. Use the transaction date, description, amount, supplier and any notes provided. Do not invent missing details. Keep the original transaction reference, date, description and amount unchanged, and add these columns: category, confidence as high/medium/low, reason, needs_review as yes/no, and likely business_or_personal as business/personal/mixed/unclear. Apply these business rules: [PASTE YOUR RULES]. Treat unclear, mixed-use, unusual or potentially personal transactions as needs_review=yes rather than guessing. Do not give tax, VAT or accounting advice. If a transaction may need a different treatment for tax or VAT, write 'ask an accountant' in the reason. Return: 1. A table containing every transaction exactly once. 2. Totals by category. 3. A separate list of all low-confidence, mixed, unclear or potentially personal transactions. 4. A short list of assumptions and rules you applied. Use pounds and preserve negative and positive amounts as supplied. Check that the category totals reconcile to the total of the input amounts, and state any rows you could not process.
Open it prefilled in ChatGPT or Claude, or copy it into Gemini, which takes no prefill link.
What it gets wrong
- AI cannot know whether an ambiguous purchase was genuinely for the business without evidence and your explanation.
- AI cannot reliably decide the correct VAT or tax treatment from a bank description alone.
- AI cannot resolve mixed-use spending or owner drawings without applying your business policy and reviewing the underlying receipt.
- AI does not take responsibility for categories that flow into accounts, VAT returns or tax filings.
- AI can produce plausible totals while silently putting a transaction in the wrong category, so exception checking remains your work.
Even on a YES, the friction has a name: verification cost, judgement under ambiguity and legal accountability.
How we scored this
Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.
| Axis | Score (0–2) |
|---|---|
| Output | 2 |
| Inputs | 2 |
| Verification | 1 |
| Liability | 1 |
| Effort delta | 2 |
| Total | 8 / 10 |
The methodology and its thresholds are published in full.
FAQ
- Can ChatGPT categorise my business expenses?
- Yes. Give it a transaction export, your category list and clear rules, and it can classify rows, total the categories and flag uncertain transactions. Check every exception and do not treat the result as accounting or VAT advice.
- What information does AI need to categorise expenses?
- It needs the transaction date, description, amount and preferably the supplier, reference and receipt details. It also needs your budget categories and rules for personal, mixed-use, owner and unusual spending.
- Can AI categorise expenses for my UK tax return?
- It can help organise transactions, but it cannot safely decide which costs are allowable for your UK tax return from a bank export alone. Ask an accountant about uncertain expenses, VAT treatment and anything that will be used in a filing.
- How do I check AI expense categories?
- Reconcile the row count and total with the original bank or card export, then compare each uncertain row with its receipt, invoice and business purpose. Have an accountant check categories that affect bookkeeping, VAT or tax before filing.
