PARTLY

As of 12 August 2026, AI can only partly do your bookkeeping.

Most people should hand this to a purpose-built tool.

What the alternative costsA freelance bookkeeper commonly charges £25 to £40 an hour.

If this goes wrong: months of quietly mis-filed transactions surface at VAT or Self Assessment time, and unpicking them costs more than the bookkeeping would have.

What to actually do

  1. Use a tool built for this

    The route this page recommends

Purpose-built software does the mechanical share of this.

    • Xero

Bank feeds, reconciliation and VAT-ready ledgers from £16/month (Ignite): the automated work this answer describes actually lives here, not in a chat window.

    • FreeAgent

      £19 (Sole Trader)

Built for UK sole traders and small companies at £19/month (Sole Trader), and free through several UK business bank accounts, which makes it the low-cost route into real books.

    • GnuCash

      Free

Free, open-source double-entry bookkeeping: no feeds and no AI, but a real ledger that costs nothing and keeps you honest.

  2. Hand it to a person

    Second choice

A person who owns the outcome does this end to end, worth it when the failure is dear.

Where to find a person today

    • ICB Find a Bookkeeper

The Institute of Certified Bookkeepers’ public directory of licensed bookkeepers, searchable by location and service.

Certified bookkeepers are the honest fix when the books are behind: the ledger gets rebuilt by someone whose name goes on the work, commonly at £25 to £40 an hour.

  3. Do it yourself

    The distant third

A chat interface, power-user skill, and roughly 1 hour until you can act on the result.

    Prompt

Set out a month-end bookkeeping routine for my small UK business: the reconciliation steps against the bank statement, the records I must capture for HMRC, and the checks that catch duplicate or missing entries. Then list the judgement calls I should keep for myself or my accountant, with one line on why each is a judgement call.

Open it prefilled in ChatGPT or Claude, or copy it into Gemini, which takes no prefill link.

What it gets wrong

What caps this at PARTLY: private data access, judgement under ambiguity and context depth.

How we scored this

Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.

FAQ

Can AI do my bookkeeping for me?
Partly. The answer here is PARTLY. Software with AI features genuinely automates feeds, matching and categorisation, but a general chat cannot hold your ledger, and the judgement calls, ambiguous payees, VAT treatments, missing entries, still need you or a bookkeeper.
Can I use ChatGPT instead of accounting software?
Not as the system of record. A chat has no bank feed, no audit trail and no ledger, so anything it produces has to be re-entered somewhere real. Use it to explain entries and draft queries for your accountant, and keep the books in software built for them.
What does AI bookkeeping actually automate?
Inside accounting software: bank-feed matching, recurring categorisation, receipt data extraction and reconciliation suggestions. Roughly the routine share. What stays yours is the judgement: ambiguous payees, VAT edge cases, and noticing what is missing.
How much does a bookkeeper cost in the UK?
Commonly £25 to £40 an hour. Software from £16/month (Xero Ignite) or £19/month (FreeAgent Sole Trader) shrinks the hours they bill by keeping the routine work clean, which is the honest division of labour this answer recommends.
