   How to actually do it

   1. Open each supplier quote and rename the files with the supplier name and quote reference so you can identify the source documents.
   2. Gather the proposal brief, required quantities, delivery location, currency requirement and any internal rules about VAT, discounts or preferred suppliers.
   3. Redact bank details, personal contact details and other information that the extraction does not need, then attach the quotes or paste their text into an AI chat.
   4. Paste the prompt and replace the bracketed sections with the proposal requirements, without asking the model to fill gaps or select a preferred price.
   5. Compare every extracted price, quantity, unit, VAT statement, charge and validity period with the cited page or section in the original quote.
   6. Correct the checked table, record any unresolved CHECK SOURCE items with the supplier, then copy only the confirmed figures and terms into the proposal.
