As of 13 August 2026, AI can only partly find your missing expense receipts.
This still needs a person who signs their name to it.

How to actually do it
- Export the relevant business bank or card transactions as a CSV or spreadsheet, including the date, supplier, amount, currency and payment reference.
- Open the receipt storage locations you are authorised to use, such as the expense system, shared drive, cloud folder and work email, then create a file index containing each receipt filename, date, supplier and amount without copying unnecessary personal data.
- Paste the transaction export and receipt index into the prompt, keeping the column headings and identifying which list is which.
- Ask the model to produce the matching table, then save the rows marked missing receipt, possible match or insufficient data.
- Search the suggested supplier names and date ranges in your work email, cloud folders and paper records, and attach any receipts you find to the corresponding expense record.
- Compare every remaining flagged transaction with the original bank or card statement and the receipt itself, then ask the person responsible for the expense or supplier for a replacement receipt where appropriate.
- Give the final unresolved list to your bookkeeper or accountant before claiming VAT or submitting the expenses, and retain the source records with the completed expense file.
Prompt
I need to find missing expense receipts for a UK business. I will provide an expense transaction list and a separate receipt register or folder index. Compare them using the transaction date, supplier, amount, currency and payment reference where available. Do not invent receipts, suppliers, dates, amounts or matches. Treat small date differences, card settlement dates and VAT-inclusive versus VAT-exclusive amounts as possible reasons for a near match, not as proof of a match. Return a table with these columns: transaction date, supplier, amount, currency, payment reference, matching receipt or file, match status, confidence, and reason. Use only these match statuses: matched, probable match, possible match, missing receipt, or insufficient data. Put every uncertain item in a separate review list. Also list duplicate receipts, receipts whose details do not agree with the transaction, and transactions that could be personal or otherwise unsupported. Do not decide whether an expense is allowable for tax or VAT, and do not give professional advice. Finish with a short list of searches I should make in email, cloud storage and paper files, using the supplier names and date ranges found in the data. Here is the expense transaction list: [PASTE TRANSACTION LIST] Here is the receipt register or file index: [PASTE RECEIPT REGISTER OR FILE INDEX]
Open it prefilled in ChatGPT or Claude, or copy it into Gemini, which takes no prefill link.
What it gets wrong
- AI cannot search your private email, cloud storage or accounting system unless you provide an authorised connection or export.
- It cannot prove that a near match is the correct receipt when dates, suppliers or amounts differ.
- It cannot recover a receipt that was never issued, deleted or stored outside the records you supplied.
- It cannot decide whether an unsupported expense is allowable for UK tax or VAT.
- It cannot transfer responsibility for incomplete evidence away from you or your employer.
What caps this at PARTLY: private data access, verification cost and legal accountability.
How we scored this
Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.
| Axis | Score (0–2) |
|---|---|
| Output | 2 |
| Inputs | 1 |
| Verification | 1 |

FAQ
- Can AI search my emails for missing receipts?
- Only if you give it authorised access through a suitable system or provide an email export. A chatbot cannot see your work mailbox by default, and you should remove unrelated personal or confidential messages before uploading anything.
- Can AI match receipts to bank transactions?
- Yes, it can compare dates, suppliers, amounts and payment references and flag likely matches or gaps. You still need to check uncertain matches against the original statement and receipt because settlement dates and VAT treatment can create misleading similarities.
- Can AI find a receipt I never received?
- No. It can search the records you provide and identify a missing item, but it cannot recreate evidence that was never issued or has been deleted. Ask the supplier or the person who made the purchase for a replacement where possible.
- Can AI tell me if an expense is tax deductible?
- It can organise the evidence, but it should not make the final UK tax or VAT decision for a disputed or material expense. Not professional advice. Ask your accountant or bookkeeper about expenses that may be personal, mixed-use or unsupported.
