   How to actually do it

   1. Choose a purpose-built meeting recorder that supports your platform, such as Fathom for Zoom, Meet or Teams, and connect only the work account and calendar access it needs.
   2. Open the meeting invitation and list every attendee, the recording purpose, who will access the file and how long your organisation permits it to be retained.
   3. Send a clear notice before the meeting explaining that audio will be recorded, why it is needed, where it will be stored and how attendees can raise an objection or request an alternative.
   4. Start the meeting recorder after confirming the relevant platform permissions, announce the recording again at the start, and check that the recording indicator and audio levels are active.
   5. After the meeting, open the recording and transcript, then compare the audio with every name, number, decision, deadline and action that matters before sharing the record.
   6. Restrict access to the approved attendees or team, use a clear file name, apply your organisation’s retention rule, and delete the recording when that rule requires it.
