   How to actually do it

   1. Open your stock system or latest stocktake and gather each item's SKU, quantity on hand, quantity already on order, reorder point, target stock level and pack size.
   2. Open the supplier's latest price list, account terms and recent emails, then copy the current prices, minimum order quantities, lead times, delivery charges and accepted contact details.
   3. Add recent usage, confirmed upcoming demand and any delivery deadline to the prompt, keeping each figure linked to the relevant item and period.
   4. Paste the completed prompt into a chatbot and ask it to produce the draft reorder, calculations, exceptions and approval checklist without sending anything.
   5. Compare every suggested quantity, SKU, pack size, price, delivery charge and total with your stock records and the supplier's current documents; correct any mismatch in the source data and regenerate the draft.
   6. Approve only the lines that pass those checks, then send the supplier email or enter the purchase order yourself through your normal purchasing process and save the approved order with the source records.
