As of 13 August 2026, AI can only partly reorder stock from your supplier.
Most people should hand this to a purpose-built tool.

What the alternative costsA manual purchasing process remains the alternative; no price for it is provided in the available tool information.
If this goes wrong: you order too much, run out of a key item, accept an outdated price or send an order to the wrong supplier.
What to actually do

Do it yourself
Second choiceA chat interface, chat-fluent skill, and roughly 30 minutes until you can act on the result.
How to actually do it
- Open your stock system or latest stocktake and gather each item's SKU, quantity on hand, quantity already on order, reorder point, target stock level and pack size.
- Open the supplier's latest price list, account terms and recent emails, then copy the current prices, minimum order quantities, lead times, delivery charges and accepted contact details.
- Add recent usage, confirmed upcoming demand and any delivery deadline to the prompt, keeping each figure linked to the relevant item and period.
- Paste the completed prompt into a chatbot and ask it to produce the draft reorder, calculations, exceptions and approval checklist without sending anything.
- Compare every suggested quantity, SKU, pack size, price, delivery charge and total with your stock records and the supplier's current documents; correct any mismatch in the source data and regenerate the draft.
- Approve only the lines that pass those checks, then send the supplier email or enter the purchase order yourself through your normal purchasing process and save the approved order with the source records.
Prompt
Act as a purchasing assistant, not an autonomous buyer. Using only the information below, prepare a draft reorder for my approval. Business: [business name] Supplier: [supplier name] Supplier contact and account reference: [details] Currency: GBP Date of request: 2026-08-13 Current stock: [paste item name, SKU, quantity on hand, quantity already on order, reorder point, target stock level, pack size and unit of measure] Supplier information: [paste current price list, minimum order quantities, pack sizes, lead times, delivery charges, payment terms and any agreed discounts] Recent usage or expected demand: [paste the relevant figures and period] Required delivery date or constraints: [paste details] Instructions: 1. Match item names and SKUs exactly, and flag any mismatch. 2. Calculate suggested order quantities only where the stock, target level, pack size and existing orders are clear. 3. Do not invent prices, stock figures, pack sizes, delivery dates, discounts or supplier terms. 4. Flag missing, stale, conflicting or unusual information instead of guessing. 5. Show the calculation for every suggested quantity and give line totals only where the price is supplied. 6. Separate items into order, do not order, and needs human decision. 7. Draft a concise supplier email or purchase-order table for the items in the order section. 8. End with an approval checklist covering quantities, prices, delivery date, minimum order rules, substitutions, total cost and the correct supplier contact. Do not send or claim to have sent anything.

Hand it to a person
The distant thirdA person who owns the outcome does this end to end, worth it when the failure is dear.
What it gets wrong
- AI cannot see live stock, supplier availability or price changes unless your systems provide that information.
- AI cannot decide whether an unusual reorder reflects a real demand change, a stock-count error or a cash-flow problem.
- AI cannot reliably resolve substitutions, partial deliveries or supplier-specific ordering rules from incomplete records.
- AI does not carry responsibility for an incorrect order, so you still need to approve and send it.
What caps this at PARTLY: real time truth, judgement under ambiguity and stakes of error.
How we scored this
Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.
| Axis | Score (0–2) |
|---|---|
| Output | 1 |
| Inputs | 1 |
| Verification | 1 |

FAQ
- Can AI automatically reorder stock from my supplier?
- Not safely from a normal chatbot alone. It can prepare a reorder from data you provide, but live stock, supplier terms and approval controls need to come from your own systems and process.
- Can ChatGPT create a purchase order?
- Yes, it can draft a purchase-order table or supplier email from your stock and supplier data. Check every SKU, quantity, price, delivery detail and total before entering or sending it.
- What information does AI need to reorder stock?
- Give it current stock, stock already on order, reorder points, target levels, SKUs, pack sizes, supplier prices, minimum order quantities, lead times and delivery charges. Add recent usage and upcoming demand so it can flag decisions that need your judgement.
- Is it safe to let AI place supplier orders?
- Use AI for preparation and exception-spotting, then keep a human approval step before an order is placed. A wrong order can tie up cash, cause a stockout or accept terms you did not intend, and you remain responsible for the result.
