YES

As of 13 August 2026, AI can capture invoice data from receipts.

This still needs a person who signs their name to it.

What the alternative costsA purpose-built alternative is Nanonets, which processes invoices, receipts and forms.

If this goes wrong: an incorrect amount, supplier or VAT value enters your accounts and has to be found and corrected before it affects reporting or a VAT claim.

What to actually do

  1. Hand it to a person

    The route this page recommends

A person who owns the outcome does this end to end, worth it when the failure is dear.

  2. Use a tool built for this

    Second choice
  3. Do it yourself

    The distant third

A chat interface, chat-fluent skill, and roughly 15 minutes until you can act on the result.

    How to actually do it

    1. Open a folder or spreadsheet for the bookkeeping period and create columns matching the prompt, including a field for the source file name.
    2. Gather the original receipt images or PDFs, rename them with distinct file names, and remove duplicates before uploading them.
    3. Upload the receipts to a document-capable AI tool and paste the prompt exactly, asking it to return the extracted records as CSV-compatible text.
    4. Paste the returned table into your spreadsheet and format the date, currency and amount columns without changing the extracted values.
    5. Open each receipt flagged for checking and compare the supplier, date, reference, net amount, VAT and gross amount against the corresponding row.
    6. Mark missing or unclear fields for your bookkeeper or accountant, and only import the checked rows into your accounting system.

    Prompt

Extract data from the attached receipts into a table. Use one row per receipt and these columns: file name, supplier name, receipt date, invoice or receipt number, description, net amount, VAT amount, VAT rate, gross amount, currency, payment method and confidence note. Copy values exactly as shown. If a field is missing, unclear or not applicable, leave it blank and say why in the confidence note. Do not infer VAT, calculate missing amounts, merge receipts or treat a receipt as a valid VAT invoice. Preserve decimal places and flag totals that do not match the visible figures. Return the table as CSV-compatible plain text, followed by a short list of receipts needing manual checking.

Open it prefilled in ChatGPT or Claude, or copy it into Gemini, which takes no prefill link.

What it gets wrong

  • A receipt may not contain the invoice number, VAT number or other information needed to support a VAT claim, and AI cannot create that evidence.
  • It cannot reliably decide whether a receipt is a valid VAT invoice or whether an expense is allowable for your business.
  • Poor lighting, folds, cropped edges and unusual layouts produce wrong or blank fields without necessarily looking obviously wrong.
  • It cannot take responsibility for the bookkeeping entry, VAT record or expense claim after extraction.

Even on a YES, the friction has a name: judgement under ambiguity, stakes of error and verification cost.

How we scored this

Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.

FAQ

Can AI read receipts and put them in a spreadsheet?
Yes. It can extract visible fields from receipt images or PDFs and place them into a table, including supplier, date and amounts. Check every row against the original before importing it into your accounts.
Can AI extract VAT from receipts?
It can copy a VAT amount or rate that is clearly printed on the receipt. It cannot safely infer missing VAT or decide whether the receipt provides enough evidence for a UK VAT claim.
Can I use receipts as invoices for bookkeeping?
Sometimes, but a receipt may not contain all the details needed for your records or a VAT claim. Ask your accountant or bookkeeper about doubtful documents, as this is not professional advice.
What is the best AI tool for extracting data from receipts?
Nanonets is a purpose-built option for processing invoices, receipts and forms. A general chatbot can also extract data from uploaded images, but you still need to check the results and handle missing accounting evidence yourself.
