As of 13 August 2026, AI can draft an email sending a quote to a customer.
Most people should hand this to a purpose-built tool.

If this goes wrong: the email contains an incorrect price, term or promise and creates avoidable work or damages the sale.

Do it yourself
Second choiceA chat interface, no skill needed, and roughly 15 minutes until you can act on the result.
How to actually do it
- Open the current quote in your quoting system or document and copy the quote reference, scope, price, VAT wording, validity period, dates and attachment name.
- Open the relevant customer record and previous email thread, then gather the customer's name, company, sender details and the agreed next step.
- Paste those facts into the prompt's bracketed fields, retaining the wording and figures exactly as they appear on the quote.
- Paste the completed prompt into ChatGPT, Claude or Gemini and ask it to produce the subject line and email body.
- Compare the draft line by line with the quote, customer record and previous email thread, correcting any changed figure, date, term, name or promise.
- Attach the quoted file in your email client, confirm the recipient address and subject, then send the checked email yourself.
Prompt
Draft a concise email to send the following quote to a customer. Customer name: [customer name] Customer company: [company name] Quote reference: [quote reference] What is being quoted: [scope or product description] Quoted price: [price exactly as shown on the quote] VAT treatment: [VAT wording exactly as shown on the quote] Quote validity period: [validity period exactly as shown on the quote] Expected delivery or start date: [date or wording exactly as shown on the quote] Attachments: [file name or names] Relevant previous conversation: [paste only the relevant context] Desired next step: [what you want the customer to do] Sender name and role: [sender name and role] Use a plain, professional UK business tone. State only facts supplied above. Do not change, round or reinterpret the price, VAT wording, validity period, dates, scope or terms. Do not invent benefits, deadlines, availability or contract terms. Mention the attached quote and its reference, explain the next step clearly, and include a short invitation to ask questions. Give me one subject line and one email body. Do not send the email.
Open it prefilled in ChatGPT or Claude, or copy it into Gemini, which takes no prefill link.
Hand it to a person
The distant thirdA person who owns the outcome does this end to end, worth it when the failure is dear.
What it gets wrong
- AI cannot know which details from the previous conversation matter unless you provide them.
- AI cannot confirm that the quoted price, VAT treatment, scope or validity period is still current.
- AI cannot decide whether a concession or promise is commercially wise for this customer.
- AI cannot take responsibility for an incorrect quote or an email sent to the wrong recipient.
- AI may make a routine quote sound generic unless you provide the relationship and desired tone.
Even on a YES, the friction has a name: context depth, judgement under ambiguity and taste.
How we scored this
Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.
| Axis | Score (0–2) |
|---|---|
| Output | 2 |
| Inputs | 2 |
| Verification | 2 |

FAQ
- Can AI write an email to send a quote?
- Yes. Give it the exact quote details and customer context, then check every figure, term and promise against the source before sending.
- Can AI send the quote to my customer for me?
- It can draft the message, but this process leaves you responsible for checking the recipient, attachment and commercial terms. Send it from your normal email or sales system after checking it.
- What should I include in an email with a quote?
- Include the quote reference, what is being quoted, the price and VAT wording, the validity period, any relevant dates, the attachment and the next step. Keep the wording consistent with the actual quote and do not add terms that are not in it.
- Will AI make my quote email sound professional?
- It can produce a clear and professional first draft in a tone you specify. It cannot reproduce your customer relationship or sales judgement without the relevant context, so adjust the draft where that context matters.
