PARTLY

As of 13 August 2026, AI can only partly export your expenses to your accounting software.

This still needs a person who signs their name to it.

What the alternative costsBooke AI provides bookkeeping automation for categorisation, reconciliation and client queries.

If this goes wrong: expenses or VAT are posted to the wrong accounts, and the error can flow into management accounts or an HMRC return.

What to actually do

  1. Hand it to a person

    The route this page recommends

A person who owns the outcome does this end to end, worth it when the failure is dear.

  2. Use a tool built for this

    Second choice
  3. Do it yourself

    The distant third

A chat interface, power-user skill, and roughly 1 hour until you can act on the result.

    How to actually do it

    1. Open your accounting software's expense or transaction import page and download its current CSV template or write down its required columns, date format and VAT fields.
    2. Gather the expense receipts, card statement or bank statement for the period, plus your current chart of accounts and VAT coding rules.
    3. Paste the software name, required column names and source expense data into the prompt, and tell the chatbot to leave unsupported fields blank rather than guess.
    4. Compare the returned CSV's dates, suppliers, net amounts, VAT amounts and gross amounts with the receipts and statement, and resolve every item in the Exceptions section.
    5. Check each proposed expense category, nominal code and VAT rate against your chart of accounts and VAT records, asking your bookkeeper or accountant about any treatment you cannot establish.
    6. Save a copy of the checked CSV and upload it through the accounting software's import function, using a small test batch first if the software supports one.
    7. Compare the imported transaction count and totals with the source statement, then retain the receipts, source file and import report with your bookkeeping records.

    Prompt

Turn the expense data below into an import-ready CSV for [ACCOUNTING SOFTWARE]. Use exactly these columns: date, supplier, description, net_amount, VAT_amount, gross_amount, currency, expense_category, nominal_code, VAT_rate, payment_method, reference. Preserve the source figures exactly and use UK date format DD/MM/YYYY. Do not invent missing values. Leave a field blank and list it in an Exceptions section if the source does not support it. Do not guess the VAT rate, whether VAT is reclaimable, the nominal code or the expense category. First explain the required import format and any fields I must confirm. Then provide the CSV in a code block, followed by a row-by-row list of uncertainties and a reconciliation showing total net amount, total VAT amount and total gross amount. Check that net amount plus VAT amount equals gross amount for each row, flagging any mismatch. Expense data: [PASTE DATA HERE]

Open it prefilled in ChatGPT or Claude, or copy it into Gemini, which takes no prefill link.

What it gets wrong

  • AI cannot know whether a particular purchase is wholly, partly or not allowable for your business without your business context and accounting policy.
  • AI cannot establish the correct UK VAT treatment when the receipt is incomplete, mixed-use or subject to a special rule.
  • AI cannot guarantee that its CSV matches the current import requirements of your accounting software unless you provide the exact template and check the result.
  • AI cannot take responsibility for errors that enter your ledgers or later affect VAT reporting and accounts.
  • AI cannot replace the final approval of a bookkeeper or accountant for ambiguous or material entries.

What caps this at PARTLY: verification cost, legal accountability and context depth.

How we scored this

Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.

FAQ

Can ChatGPT export expenses to QuickBooks?
It can prepare expense data in a CSV format that QuickBooks may accept, if you provide the correct template and map the fields. It cannot guarantee a direct connection or correct VAT and account coding, so check the file before importing it.
Can AI upload receipts to my accounting software?
Some purpose-built bookkeeping tools can extract and categorise receipt information, while a chatbot can usually prepare structured data for import. You still need to check the supplier, amounts, VAT treatment and account code before the entries become part of your records.
Is it safe to let AI categorise my business expenses?
It is suitable for a first pass, not automatic approval. Compare every suggested category and VAT rate with your records, and ask your bookkeeper or accountant about anything ambiguous or financially significant.
Can AI export expenses to Xero?
AI can create a Xero-compatible import file when you provide Xero's current format and the source data. The import does not transfer responsibility for errors, so reconcile the imported totals and check the coding before relying on the ledger.
