As of 13 August 2026, AI can scan your business receipts.
This still needs a person who signs their name to it.

What the alternative costsNanonets is a purpose-built alternative that processes invoices, receipts and forms.
If this goes wrong: an incorrect total, date or VAT amount enters your expense records and has to be found and corrected before it affects your accounts or VAT work.

How to actually do it
- Gather the original business receipts and discard duplicate copies before scanning them.
- Open a chatbot or receipt-processing tool and upload clear, full images or PDFs with one receipt identifiable per file.
- Paste the prompt and ask the tool to produce the extraction table without classifying expenses or deciding VAT treatment.
- Open each original receipt beside the returned table and compare the supplier, date, subtotal, VAT and total, correcting the table where the scan is wrong.
- Mark any receipt with missing, blurred or ambiguous information for follow-up rather than filling in the gap from memory.
- Paste the checked table into your bookkeeping software or spreadsheet, then ask your bookkeeper or accountant about expense categories and VAT recovery where those decisions are uncertain.
Prompt
Read the attached business receipt images or PDFs and extract one row per receipt into a table with these columns: file name, supplier, receipt date, currency, subtotal, VAT amount, VAT rate if explicitly shown, total, payment method if shown, receipt or invoice number if shown, and notes. Use the currency shown on the receipt, otherwise write "not shown". Do not guess, complete missing fields, or infer VAT treatment. Preserve the figures exactly as printed and flag blurred, cropped, conflicting or ambiguous text with "CHECK" in the notes column. Do not classify an expense as allowable, decide whether VAT can be reclaimed, or invent a supplier name. After the table, list every receipt that needs a human check and quote the relevant extracted text. Format the result so it can be pasted into Excel or Google Sheets.
Open it prefilled in ChatGPT or Claude, or copy it into Gemini, which takes no prefill link.
What it gets wrong
- Cannot reliably read blurred, folded, cropped or handwritten receipts.
- Cannot decide whether a business expense is allowable or whether its VAT is recoverable for your circumstances.
- Cannot resolve an ambiguous supplier, date or VAT rate without evidence outside the receipt.
- Cannot take responsibility for the accuracy of the expense records or any later VAT or accounts submission.
Even on a YES, the friction has a name: verification cost, judgement under ambiguity and stakes of error.
How we scored this
Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.
| Axis | Score (0–2) |
|---|---|
| Output | 2 |
| Inputs | 2 |
| Verification | 1 |
| Liability | 1 |
| Effort delta | 2 |

FAQ
- Can ChatGPT scan receipts?
- Yes. It can read uploaded receipt images or PDFs and turn visible details into a table, but you must compare the table with the original receipts before using it.
- Can AI extract VAT from receipts?
- AI can extract a VAT amount or rate that is clearly printed on a receipt. It cannot decide whether you are entitled to reclaim that VAT, so ask your accountant or bookkeeper when the treatment is unclear.
- Can AI put receipts into Excel?
- Yes. Ask it for a table with one row per receipt and columns for the supplier, date, subtotal, VAT and total, then paste the result into Excel or Google Sheets. Check each row against the source receipt first.
- Is it safe to use AI for business receipts?
- It is suitable for extracting visible text, provided you check the result against the originals and use a service whose data handling suits your business. Do not treat the extracted table as a decision about allowable expenses or VAT, and keep the original receipts.
