As of 13 August 2026, AI can reconcile your business bank transactions.
This still needs a person who signs their name to it.

What the alternative costsA spreadsheet-analysis alternative is Julius AI, which lets you upload a spreadsheet, ask questions and get charts and analysis; its price is not provided here.
If this goes wrong: a missed or incorrectly matched transaction leaves your accounts wrong and may distort VAT, tax or management reporting.

How to actually do it
- Open your online business bank account and export the relevant transactions as a CSV, including the transaction date, amount, payee, reference and bank transaction ID where available.
- Export the same period from your bookkeeping or accounting system, including the ledger date, amount, payee, reference, invoice or transaction ID and account code.
- Remove unrelated accounts and periods from both files, then record the opening balance, closing balance and currency shown on the bank statement.
- Paste the prompt into a chatbot and upload both files, stating the business name, period and whether the bank amounts are shown as positive and negative values or as separate money-in and money-out columns.
- Check the model's bank total and closing balance against the original bank statement, and check its ledger total against the accounting system before accepting any match.
- Open every unmatched, duplicate and discrepancy row in the bank and bookkeeping systems, attach the relevant invoice or receipt, and resolve only items supported by that evidence.
- Send the reconciliation table, exception report and supporting evidence to your bookkeeper or accountant if the period feeds VAT, statutory accounts, payroll or a tax return.
Prompt
Reconcile the attached business bank transaction export against the attached accounting ledger for [business name] and [period]. Treat the bank export as the source for what actually cleared. Match transactions using date, amount, reference, payee and any existing transaction or invoice ID, allowing for normal date differences only when the evidence supports it. Do not invent transactions, dates, amounts, VAT treatment, nominal codes or explanations. Preserve the bank transaction ID and ledger ID for every match. Produce: 1) a reconciliation table with bank transaction ID, ledger ID, date, amount, payee, match status and evidence used; 2) unmatched bank transactions; 3) ledger entries with no bank match; 4) possible duplicates; 5) amount and date discrepancies; 6) a short list of items requiring a human decision. Calculate the bank total, ledger total, matched total and difference, and show the arithmetic. Do not silently write off differences or decide whether an item is allowable for tax or VAT. State which columns are missing or unreliable. Give me a CSV-ready table and a plain-English exception report. Before presenting the result, check that each bank transaction appears once at most and that the reconciliation difference agrees with the displayed totals.
Open it prefilled in ChatGPT or Claude, or copy it into Gemini, which takes no prefill link.
What it gets wrong
- AI cannot know whether an unfamiliar payment is a business cost, a personal withdrawal, a loan movement or a director transaction without supporting evidence.
- AI cannot confirm that a bank feed or export is complete, current and taken from the correct business account.
- AI cannot safely decide VAT treatment, tax treatment or the correct nominal code for an ambiguous transaction.
- AI can flag duplicate-looking entries, but it cannot establish whether they are genuine duplicates without the invoice, receipt or payment context.
- The reconciliation output is not a professional sign-off and does not transfer responsibility for your records away from you.
Even on a YES, the friction has a name: verification cost, judgement under ambiguity and stakes of error.
How we scored this
Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.
| Axis | Score (0–2) |
|---|---|
| Output | 2 |
| Inputs | 2 |
| Verification | 1 |
| Liability | 1 |
| Effort delta | 2 |
| Total | 8 / 10 |
The methodology and its thresholds are published in full.
FAQ
- Can ChatGPT reconcile my bank transactions?
- Yes, it can compare a bank CSV with a bookkeeping ledger, match likely entries and list unmatched transactions. It cannot reliably decide the VAT, tax or accounting treatment of an unusual item, so check the result against the bank statement and ask your accountant or bookkeeper about exceptions.
- How do I reconcile my business bank account with AI?
- Export the bank transactions and the matching ledger, then give both files to the model with instructions to preserve transaction IDs, show the arithmetic and list exceptions. Compare its totals and matches with the original statement before using the reconciliation in your accounts.
- Is it safe to upload my business bank transactions to AI?
- Only use a service whose data handling is acceptable for your business, remove information that is not needed and follow your organisation's privacy controls. Do not upload confidential data to an unapproved service, and remember that this is not professional advice.
- Do I still need an accountant if AI reconciles my bank account?
- You may still need an accountant or bookkeeper to resolve ambiguous entries and check records used for VAT, accounts or tax reporting. AI can reduce the mechanical matching work, but it does not take responsibility for the figures or provide professional sign-off.
