How to actually do it
- Open the difficult email and copy its text into a new document, replacing names, email addresses, customer details and other confidential information with neutral descriptions.
- Write down your role, the outcome you want, the facts that must be accurate, anything you do not want to concede and any deadline or next step.
- Open a chatbot such as ChatGPT, Claude or Gemini and paste the prompt with the redacted email and your notes in the relevant slots.
- Read the draft against the original email and your notes, removing any invented fact, motive, promise, policy reference or apology that you did not authorise.
- Ask the chatbot to produce a shorter version if the reply is defensive, vague or longer than needed, then compare the revised wording with your intended outcome.
- Paste the checked reply into your work email, confirm the recipient and attachments, and send it only after deciding that you accept responsibility for its wording.
