As of 13 August 2026, AI can check expense claims against your company policy.
This still needs a person who signs their name to it.

Who has to check ita colleague
What the alternative costsA colleague or expense reviewer can check the claims manually; no price for that alternative is supplied here.
If this goes wrong: an ineligible claim is approved or a valid claim is rejected, and the error may require repayment, correction or an employee dispute.
What to actually do

How to actually do it
- Open the current company expense policy and record its version or effective date.
- Export the claims for checking, including claim ID, claimant, date, amount, currency, category, business purpose, approval status and receipt reference.
- Gather the relevant receipts or supporting documents and remove personal information that is not needed for the policy check.
- Paste the policy, claim export and supporting-document details into the prompt, keeping each claim ID unchanged.
- Ask the AI to produce the compliance table and a separate list of unclear cases without approving or rejecting anything.
- Compare every result and quoted policy section with the current policy, then send unclear cases and proposed decisions to the authorised expense approver.
Prompt
Check the expense claims below against the company policy below. Do not invent rules, missing facts or approval authority. For each claim, return a table with: claim ID, claimant, date, amount, category, policy rule checked, policy section or quoted wording, result as compliant, non-compliant or unclear, reason, missing information, and recommended next action. Separate a policy breach from a claim that cannot be assessed. Treat unclear wording, exceptions, missing receipts, missing approvals and out-of-date policy versions as unclear rather than making a judgement. Do not approve, reject, pay or submit any claim. Flag possible duplicate claims, arithmetic mismatches and claims where the receipt does not support the amount, but do not decide authenticity. Finish with a short list of all cases that need a human decision. Use only the supplied information. What it gets wrong
- AI cannot know whether an exception was agreed verbally or whether a manager has authority to approve it.
- AI cannot establish that a receipt is genuine or that a business purpose is truthful from the documents alone.
- AI can apply an outdated policy if you paste the wrong version or fail to identify the effective date.
- AI cannot take responsibility for an approval, rejection, repayment request or employee dispute.
Even on a YES, the friction has a name: judgement under ambiguity, verification cost and legal accountability.
How we scored this
Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.
| Axis | Score (0–2) |
|---|---|
| Output | 2 |
| Inputs | 2 |
| Verification | 1 |
| Liability | 1 |
| Effort delta | 2 |

FAQ
- Can ChatGPT check my expense claims against company policy?
- Yes, it can compare structured claim details with the policy and flag compliant, non-compliant and unclear items. It should not approve or reject claims, and a named company approver still needs to decide exceptions.
- Can AI check receipts against an expense policy?
- It can compare receipt details such as date, amount and category with the rules you provide. It cannot prove that a receipt is genuine or that the expense was really for business.
- Can AI decide whether an expense claim is valid?
- It can make a rules-based assessment when the policy and claim information are clear. It cannot reliably decide ambiguous exceptions, verbal approvals or disputed business purposes, so those cases need a colleague with the right authority.
- Is it safe to use AI to check employee expenses?
- It is suitable for a first-pass comparison if you use the current policy, limit personal data and keep a human approval step. Do not treat its result as evidence that a receipt is genuine or as the final company decision.
