As of 13 August 2026, AI can find information in a PDF.
This still needs a person who signs their name to it.

What the alternative costsThe alternative is manual searching in the original PDF, which has no software cost but takes your time.
If this goes wrong: you copy a missed or misread detail into a document, decision or record and have to correct the resulting work.
What to actually do

A person who owns the outcome does this end to end, worth it when the failure is dear.

The distant thirdA chat interface, no skill needed, and roughly 15 minutes until you can act on the result.
How to actually do it
- Open the original PDF and note whether it contains selectable text, scanned pages, tables or images.
- Upload the PDF to a chatbot or a PDF tool such as Humata, then paste the prompt with a separate numbered list of the information you need.
- Ask the tool to answer each item separately and to return the page number and exact supporting quotation for every answer.
- Open each cited page in the original PDF and compare the answer with the quoted passage, including the heading, table row, footnote or image next to it.
- Copy only the checked answers into your spreadsheet, email or document, and mark any item that says "Not found in the PDF" for a separate manual search.
Prompt
Read the attached PDF and find the information requested below. Use only the contents of the PDF. For every answer, provide the page number, quote the exact supporting passage, and briefly explain how it answers the question. Distinguish clearly between ordinary text, tables, footnotes and information that appears in an image. If the PDF does not contain the answer, say "Not found in the PDF" rather than inferring or using outside knowledge. If the wording is ambiguous, list the possible interpretations and identify the exact text causing the ambiguity. Do not invent, complete or estimate any missing information. Open it prefilled in ChatGPT or Claude, or copy it into Gemini, which takes no prefill link.
What it gets wrong
- AI can miss text in scans, diagrams, footnotes and poorly structured tables.
- It can give a plausible answer when the PDF uses ambiguous terms or splits the relevant information across pages.
- Page references do not prove that the answer has been interpreted correctly in the wider context of a policy, contract or report.
- It cannot know whether the information you found is the current version unless you provide the relevant documents and check their dates yourself.
Even on a YES, the friction has a name: verification cost and context depth.
How we scored this
Five axes, each scored nought to two by hand: ten means AI carries the task cleanly, and the thresholds that turn a total into YES, PARTLY or NO are published in the methodology. Each axis name links to its definition.
| Axis | Score (0–2) |
|---|---|
| Output | 2 |
| Inputs | 2 |
| Verification | 1 |
| Liability | 2 |
| Effort delta | 2 |
| Total | 9 / 10 |

FAQ
- Can ChatGPT search a PDF for me?
- Yes. Upload the PDF and ask for the specific terms or information you need, with page numbers and exact quotations. Check every result against the cited page, especially if the file is scanned or contains tables.
- Can AI find a name or number in a PDF?
- Usually, yes, if the text is readable and the request is specific. Ask for the page, exact quotation and surrounding heading, then compare the result with the original PDF before copying it elsewhere.
- Can AI read a scanned PDF?
- It can often extract information from a scanned PDF, but recognition errors are more likely than with selectable text. Check the original image for names, figures, dates and table entries rather than trusting the extracted answer alone.
- Is AI reliable for finding information in a PDF?
- It is useful for locating likely passages, but it is not a guarantee that every relevant passage was found or interpreted correctly. Require page references and quotations, and check the original wording before using the result in a work decision or formal document.
